Prostream is a product of Pro4all Cloud Services B.V.. Your privacy is of great importance to Pro4all. We therefore comply with the relevant privacy laws and regulations, including the General Data Protection Regulation (GDPR).
Our privacy and cookie statement summarised
When processing personal data, we comply with privacy legislation. This means that we:
- Clearly define our purposes before processing your personal data, via this privacy and cookie statement.
- Store as little personal data as possible and only the data necessary for our purposes.
- Explicitly request consent to process your personal data, should consent be required.
- Take the necessary security measures to protect your personal data. We also impose these obligations on parties processing personal data for us.
- Respect your rights, such as the right to inspect, correct or delete your personal data processed by us.
GDPR
From May 25th 2018, the General Data Protection Regulation (GDPR) applies. This means that from that date, the same privacy legislation applies throughout the European Union (EU). With ever-increasing digitalisation and the growing bulk of data in the world, protecting this data becomes even more important than it already was.
A reliable supply of information is necessary for the proper functioning of our services with our customers and the proper functioning of our organisation. This therefore requires an integrated approach and risk awareness.
This is not just about protecting information within Pro4all. Much more importantly, it is also about protecting our customers’ information. Pro4all has written an information security policy. This policy provides the framework for appropriate technical and organisational measures in order to protect and safeguard the information of our customers and our organisation.
What measures have we taken?
Storage
All data that is critical, e.g. sensitive business activities of our customers and our organisation, is stored with a highly secure and certified party, Microsoft’s Azure platform. This is to ensure absolute security for clients. We also work with an additional party for performance monitoring: Intercept.
Encryption
This takes place in accordance with best practices and will therefore be subject to continuous change. At the time of version 1.2, this means TLS 1.0, 1.1 and 1.2 with restricted algorithms.
What standards
In addition to secure storage, no one can get to your data, Pro4all has completely developed the security policy. This is based on the Code for Information Security (NEN ISO 27001/27002), the ISO standard for information security. We are also in the process of getting this ISO certified.
Service Level Agreement
- Uptime guarantee: 99% during office hours, 95% outside office hours
- E-mail support for technical and functional questions
- Telephone support for technical and functional questions during office hours (Mon-Fri, 08:30-17:00)
- All questions are answered on a best-effort basis within a maximum of two days.

Introduction
If your organization wants to try out one of our solutions before using our services, you can request an introduction. For this, you can schedule an appointment with one of our colleagues.
For this, we process the following personal data:
- Date and time of the appointment
- First and last name
- Email address
- Phone number We process these personal data to schedule an appointment for the introduction and to execute the agreement related to it. We keep these data until you’ve had the opportunity to familiarize yourself with one of our solutions. If you decide to use our services based on the introduction, we will keep your personal data for up to one year after the agreement ends. We retain some data longer if legally required (e.g., for tax retention obligations).
Providing our services
As an organization, you can use our services and solutions.
For this, we process the following personal data:
- (Company) name
- (Business) email address
- (Business) phone number
- Contact person’s name
- User’s address details
- Invoice data
- Payment details We process these personal data to execute the agreement we enter into with you. We retain this information for up to one year after the agreement ends. This way, if you decide to come back to us within a year after terminating the agreement, you won’t need to provide your data again. We retain some data longer if legally required (e.g., for tax retention obligations).
Registration and portal use
As an organization, and an employee of an organization that uses one of our solutions, you have access to our portal. However, you must first register. Once you’re registered, you can log into the portal for the respective solution.
To use the portal, we process the following personal data:
- Email address
- Self-chosen password
- First and last name We process these personal data to execute the agreement we have with your organization. We keep your personal data for up to one year after the agreement ends, so you don’t always have to re-enter them and we can easily contact you if necessary.
User training and webinars
Through our website, you can register for user training and webinars. During user training, you learn to make optimal use of our solutions, and during the webinars, the functionalities of our solutions are briefly explained.
For this, we process the following personal data:
- First and last name
- Email address
- Company name
- Phone number
- Environment URL We process these personal data to process your registration for user training or webinar and to execute the agreement related to it. We keep these data until the user training or webinar has taken place.
Customer references
We post customer references on our website.
For this, we process the following personal data:
- Company name
- First and last name
- Visual material
- Content of the shared reference We do this based on your consent. We retain this information until you withdraw your consent. You can withdraw your consent at any time by contacting us using the contact information at the bottom of this privacy and cookie statement.
Ideas portal
Through our website, you can suggest improvements to our products. For this, you need to log in to the ideas portal using your email address and self-chosen password. Within this ideas portal, you can then submit an idea.
For this, we process the following personal data:
- Company name
- Email address
- Self-chosen password
- Any information you enter as the content of your idea We do this to consider your idea and to execute the agreement related to it. We retain this information for 1 year after we have implemented the idea in the software, rejected it, and you have not been active on the ideas portal.

Google Maps
On our website, you can use Google Maps, for example, to calculate the route to our office. To determine your location and to set the route, we process your location data. We ask separately if we can do this, and only if you give permission, we use this information. For this service, we use Google’s navigation and location software. We have no control over what the creators of this software (Google) do with it. So always read their privacy statement as well. Contact
You can contact us in several ways. This can be done by phone, but also via the contact form or email.
For this, we process the following personal data:

- Company name
- Any information you enter as the content of a message
We do this to handle your contact request properly and to execute the agreement with you. We retain this information until we are sure you are satisfied with our response.
Applying for a Job
Did you respond to one of our job openings or did you send an open application? Then we process your personal data to handle your application and in preparation for a possible employment contract.
For this, we process the following personal data:
- Name and address details
- Email address
- Phone number
- Curriculum Vitae
- Motivation letter
- Salary indication
- References
- Date of availability
- Link to LinkedIn profile
- Any other information you send with your application
We keep your application data for up to 6 weeks after the position has been filled. We retain this information so we can contact you if the position becomes available again within the probationary period. If we cannot offer you a position at this time, with your consent, we may retain the application data for another year. You can withdraw your consent at any time by sending us an email.
A social media and internet search may be part of the application process. This is necessary to ensure that our image remains intact when hiring new staff. We do this based on our legitimate interest. For this, we search your name on Google and any profile on various social media. This, of course, only if these profiles are public; we will not ask you to give us access to a protected social media page or to connect with us. The results of the investigation are discussed with you. If you object to this, you can indicate this by email when you apply.
Performing Analyses
We may perform analyses on the personal data that we obtain through the use of our services. We have a legitimate interest in this. By performing analyses, we can improve our service. We will only use personal data for this purpose and will keep it for a maximum of 3 years. After this, we will anonymize the personal data (see below). If you do not want us to use your personal data for performing analyses, you can object to this at any time by contacting us using the contact details at the bottom of this privacy and cookie statement.
Anonymization
We can anonymize the personal data that we obtain through the use of our services. This means that the personal data we originally obtained has been made anonymous in such a way that the person concerned can no longer be identified based on this data. The data is therefore no longer personal data, and no privacy risks are associated with it.
We have a legitimate interest in anonymizing data. With this anonymized data, we can improve our services.
reCAPTCHA
We use the reCAPTCHA service from Google Inc. (Google) to protect our website from spam and abuse. To make Google reCAPTCHA work, the IP address of a visitor, mouse movements, and possibly other data are collected. This information is sent to and processed by Google. By analyzing this information, Google can determine whether we are dealing with a real website visitor or a robot. For more information, please refer to Google’s privacy statement.
When can we share your personal data with third parties?
We only share your personal data with third parties when this is allowed based on current legislation. We may provide your personal data to third parties because:
- we have engaged them to process certain data;
- this is necessary to execute the agreement with you;
- you give permission for this;
- we have a legitimate interest in this;
- we are legally obligated to do so (for example, if the police require this in case of suspicion of a crime). The parties that process personal data on our or your behalf are:

- Payment service providers
- Marketing companies
To provide our services, we may provide your personal data to parties located outside the European Economic Area (EEA). We only do this if there is an appropriate level of protection for the processing of personal data.
This means, for example, that we use a model agreement from the European Commission or make arrangements about the handling of personal data.
Social Media Buttons
On our website, we use the social media button for LinkedIn, which redirects you to this social media platform. This allows you to follow us and share content within the network. On our website, we use cookies and similar techniques, such as pixels (hereafter: cookies) from ourselves and third parties. Cookies are small files that can automatically be stored or read from the visitor’s device (such as PC, tablet, or smartphone) when visiting a website. This happens via the web browser on the device.
